Bookkeeping Tips for High-Volume Cafes
If you are serving 500+ coffees a day, you don't have time for manual data entry. Here is how to streamline your books.
1. Don't Record Every Sale in Xero
This is the #1 mistake. Do not push every single coffee transaction into Xero; it will crash the system. Instead, push a Daily Summary Invoice that aggregates your sales by category (Food, Bev, Coffee).
2. Manage Petty Cash
If you take cash from the till to buy milk at Woolies, you must record it. The best way is to treat the till as a "Bank Account" in Xero and record the expense as "Spent Money" from that account.
3. Weekly Flash Reports
Don't wait for the monthly P&L. You need a weekly report on Cost of Goods Sold (COGS) vs Revenue to ensure your kitchen isn't over-ordering.
